A lock on a filing cabinet keeps papers away from casual access: a visitor, a child, a roommate. It is a privacy measure, not a safe. The three listings we read on Amazon on 2026-10-01 all offer keyed locks on 3-drawer vertical cabinets, but they lock differently and fit differently. One is 24.29 inches high and rolls, one is 26.8 inches high and steel, and one is 40.6 inches high and made of engineered wood. We have not tested any of them.

The U.S. Federal Trade Commission’s guidance for businesses says to store paper files with personal information in a locked room or locked file cabinet, limit who has a key and control the number of keys. That is a good rule at home too.

What a cabinet lock does and does not do

  • Central lock. One key locks every drawer at once. The Amazon Basics listing says the lock secures all 3 drawers.
  • Per-drawer locks. Each drawer has its own lock. The VASAGLE listing says all 3 drawers can be locked separately.
  • Not a safe. A keyed lock on a light cabinet slows a casual opener. Nothing in the three listings says the cabinets are tested against forced entry, and none is described as fireproof. If you need fire or theft protection, a rated safe is a different product.

A practical way to use a lock: keep the key away from the cabinet, and keep a spare in a different place. The FTC’s point about controlling the number of keys is the same idea.

Some details to read closely. The Amazon Basics bullet says “1 pencil storage drawer and 1 hanging file frame included,” so one of its three drawers is a shallow pencil drawer, not a full file drawer; the bullet also says the lock secures all 3 drawers and that an interlock lets only one drawer stay open at a time. The VASAGLE listing states a maximum weight of 110 pounds, includes an anti-tip kit, and lists the hanging rail as adjustable for letter or A4 files. The Staples listing says letter-size hanging files fit, ball-bearing glides, and a partially assembled steel body; its weight and load limit are not stated.

Size and fit

Floor space is width times depth. Amazon Basics: 15.51 × 20.71 = 321 square inches, about 2.2 square feet. VASAGLE: 16.1 × 15.7 = 253 square inches, about 1.8 square feet. Staples: 14.3 × 18.9 = 270 square inches, about 1.9 square feet.

For under-desk use, our planning assumption is a desk 30 inches high with a 1 inch top, which leaves 29 inches of clearance. Check your own desk before you rely on that.

  • Amazon Basics at 24.29 inches fits with 29 − 24.29 = 4.71 inches to spare, and its casters let you roll it out.
  • Staples at 26.8 inches fits with 2.2 inches to spare.
  • VASAGLE at 40.6 inches does not fit under a desk; it stands beside it, and the listing describes it as a printer stand option.

If you want a wider, lower cabinet instead, see lateral filing cabinets; for general picks see filing cabinets for a home office.

Material: steel, or wood-look board

Steel is thin but strong in drawer use and does not swell. Engineered wood, like the VASAGLE’s particleboard, looks like furniture and is cheaper to make into shapes, but it carries a lower stated load. A composite wood product sold in the U.S. falls under the EPA’s formaldehyde emission rules. Whether a given cabinet carries the label is not stated in the listing text we read.

A worked example: how many files fit and what they weigh

This is a planning figure, not a listing number. VASAGLE’s maximum is 110 pounds across three drawers.

  • Even split: 110 ÷ 3 = 36.7 pounds per drawer.
  • In reams: 36.7 ÷ 5 = 7.3 reams, about 3,670 sheets per drawer.
  • Folders and hanging frames also weigh, so allow a margin. If folders add 20 percent, usable paper is 36.7 ÷ 1.2 = 30.6 pounds, about 6 reams, or 3,000 sheets.

For a household, 3,000 sheets in a drawer is a lot. A typical year of tax paperwork is far less. The cabinet’s load rarely limits you; its drawer layout does. The Amazon Basics has two usable file drawers if one is a pencil drawer, so it holds about two-thirds the files its drawer count suggests.

Tip-over and moving

A tall, narrow cabinet is the case that tips when two drawers are open. The VASAGLE is 40.6 ÷ 15.7 = 2.6 times taller than deep and comes with an anti-tip kit. The Amazon Basics interlock, which keeps one drawer open at a time, helps for the same reason, and its front casters brake. We did not see an anti-tip kit mentioned for the Staples. Our height-to-depth ratio is a rough indicator, not a standard.

What to lock up, and what to leave out

The FTC’s first step is to take stock: know what personal information you have and where it sits. For a home office that usually means a short list: tax returns and the records behind them, bank and loan statements, insurance policies, IDs and passports, medical bills, and any client or employer documents you are asked to keep private. Papers you use daily, such as a to-do list or a manual, do not need a lock and will only make you reach for the key. The FTC also advises keeping only what you need and disposing of the rest properly, which lowers what is at risk in the cabinet in the first place.

Do not store cash, jewelry or irreplaceable originals in a light cabinet on the assumption that a lock keeps them safe. None of the three listings makes a fire, water or theft claim, so treat the drawer as a place for paper you can replace or copy.

Rolling or fixed

The Amazon Basics cabinet rolls on casters, and its front casters have a brake. That helps when you vacuum or slide it out from under a desk, and a brake keeps it still while you open a drawer. The Staples and VASAGLE listings do not mention casters in the text we read. A cabinet that rolls is also easier to carry off, which matters if the point of the lock is theft. If you want it to stay put, set the brake or choose the fixed models.

Keys, spares and lock care

Keep the key off the cabinet top and out of the lock. Put a spare somewhere a different person would not guess, not in the same desk. If a listing does not say how many keys come in the box, ask before you buy; none of the three states the number in the text we read. Test the lock when you unpack it and again after assembly, because a misaligned drawer front on a flat-pack cabinet can stop a lock from catching. A drop of dry lubricant now and then keeps a key from sticking; follow the maker’s instructions rather than ours.

How to choose

  1. Decide what you are protecting and from whom. A lock for privacy is enough; for theft or fire, look at a safe.
  2. Measure the gap under the desk or the corner.
  3. Count real file drawers. A pencil drawer is not one.
  4. Pick the lock style: one key for all, or separate drawers.
  5. Check whether the unit is assembled or comes flat. Steel units like the Staples are partially assembled; the VASAGLE needs assembly with labeled parts.

Frequently asked questions

Does a lockable filing cabinet protect documents from theft?

It slows casual access. The listings we read do not claim forced-entry testing, so do not treat it as a safe.

Do all drawers lock at once?

It depends on the model. The Amazon Basics listing says one lock secures all 3 drawers; the VASAGLE lets you lock each separately.

What size file does it take?

Letter size on all three, and the VASAGLE also takes A4 by moving its adjustable hanging rail.

How many keys should I have?

The FTC advises controlling who has a key and how many keys exist. Keep a spare away from the cabinet.

Is a metal or wood cabinet better?

Steel is the common choice for load; engineered wood suits a living-area look. The load limits we saw: 110 pounds for the wood-look VASAGLE, none stated for the other two.
